Leave By Proxy
Moorepayhr users have the ability to apply for leave, sick, annual or any other nominated leave types on behalf of the managers allocated employees, who may not have access to a computer.
Prerequisites
- Prevar - *LEAVE_BY_PROXY
- Users will have access to apply for leave for employees based on either of the following security options:
- By having a Security Profile attached to the user in the Define Users window.
Rules and Guidelines
- If a user exits the wizard prior to selecting Finish, all entries/changes will be lost.

Once an entry has been created and saved on this screen, this will automatically be saved on the Notes window so that the Comments stated on this screen will also populate the Comment field of the Notes screen.
- Leave Work Patterns can be used to block book an entire leave request and to deduct days/hours/weeks from the entitlement only. In the case of a Zero Hour work pattern, the user must select every day in the span and the Default Week Days from the Plan should be used as holiday for each week booked.
- Overbooking is allowed by the value assigned in the Plan Rules. This option allows accrued holiday yet to be allocated/worked to be taken if approved.
- The message "Maximum Accrual limit reached for this holiday year, try using another leave type" will be displayed when the employee is at the limit of the Maximum Accrual in his or her Plan.
- When booking a leave in 'Weeks', the days taken are displayed as decimal equivalent of the week (e.g. each full day booked will deduct '0.2' from the entitlement while a half day leave would be '0.1').
Select Start Wizard
Field Information
Select the employee(s) you wish to generate a Leave Application for, by either ticking the Sel box for the appropriate employee(s) or by selecting the Select ALL button.
Select Next>> to move to the ESS - Leave Application window.
The Leave Application section of this wizard allows managers to define the base details of leave e.g. first and last days of leave, the return to work date etc.
The drop down list provides a list all Leave Type Codes enabled in the Leave Type Filter window.
The first day of leave and the last day of leave
The day the employee will be returning to work.
Used to override the calculation of leave hours.
If applying for a 1 1/2 day training course that is scheduled from 23/7 to 24/7 the system would calculate the leave hours as 16 hours (based on a 40 hour week), this field allows the user to override the calculated hours of 16 to 12 hours.
Used to manually override any public holidays that may or may not be including in the specified leave period.
If applying for leave in a period that included a public holiday but there has not been a setup to record public holidays, this field is used to record these hours.
This field may not be available based on your settings.

This is only valid if the Leave Code has a classification of 'S'.

N | The employee does not have a Doctors Certificate. |
This only appears if the Leave Code selected has a Classification of 'O'.
Comments entered will appear on the email sent to the employee, on the ESS Confirm Leave Application window, ESS Leave Application screen for the allocated employee and also the Leave Application screen for the report to manager.
All leave applications are displayed for the selected employee(s) and can be changed by drilling down on the selected leave application.
- Drilling down on the selected leave application will calculate/recalculate the Projected Leave Entitlements.
- Leave entitlement details such as the Current Remaining Balance, Less Outstanding Leave Applications, and Total Remaining Balance are also displayed on the Leave by Proxy Drilldown window. The message "Insufficient Leave Entitlement to cover application" will be visible at the upper portion of the Drilldown window when applicable.
- Any changes made to the dates, First Day of Leave and/or Last Day of Leave, must be followed by selecting the Recalculate button.
- If a value was entered into the Override Work Hours and/or the Override Public Holiday Hours and the Recalculate button is selected, these values are replaced with calculated values based on the First Day of Leave and the Last Day of Leave.
- Changes made to the drill down screen will not be saved if the Save button is not selected.
- If the <<Back button is selected all details entered into this screen will be removed.
